GDPR Privacy and Consent Policy

The club as a data controller and processor has a legal obligation as well as contractual lawful basis to gather, process and store members’ personal data in order to manage membership, and fulfil our legal duty in regard to safeguarding and health & safety.

Your personal information is stored securely in paper and electronic format for the purposes of processing and managing membership, payments, lesson attendance records, student safety, CMAA membership/insurance and grading status.

 

The categories of personal data stored are students’/parent or guardian, contact and emergency contact details; dates of birth and any medical condition of which you have notified us. Only club officers and authorised named instructors will have access to the data provided, and then only only as is necessary to discharge their responsibilities in running the club.

 

You must notify the club of any changes to your personal data to ensure it is kept up to date.

No personal data is transferred or hosted outside of the EU.

When a member leaves the club, the club will review the member’s personal data held to see whether it is still needed and if so for how long (e.g. in the case of children or vulnerable adults the information will be retained for 12 months in case of a statutory body request for confirmation of their activities with the club).

 

You have the right to a copy of the personal data and information the club holds about you. You have the right to correct or complete any incorrect or incomplete personal data held by the club. You have the right stop or limit the processing of your personal data (e.g. ask us to not use your email address for club communications).

Social Media and Photography Policy

You may only photograph/record your own child. You may photograph/record others during club activity only with the express permission of the club/themselves/parents/guardian.

 

You/your child are under no obligation to take part in any club photographs.

 

The club will always ask permission to use photographs of you/your child on its website or social media accounts. 

Only authorised persons may make social media posts on behalf of the club.

Do not bring the club, or any member, into disrepute by any social media posts you make.

Do not publish the contact details of anyone involved in the club without their permission.
